Agency quick start: from setup to handoff
Start with one small flow and one authorized test contact before rolling the process out to real clients. Publishing a flow and sending an invitation are separate actions.
1. Choose the workspace
Use the workspace switcher and verify the company name. Open Settings to check agency identity and contact details. Keep each client's material inside the correct workspace and account. See workspace setup.
2. Build a short intake
Open Flows, choose New flow, and select the intended client or employee audience. Add a welcome tutorial and a short questionnaire. Give every request a clear reason and explain what a successful answer looks like. Save the draft. See build a flow.
3. Review before publishing
Preview every step, required question, upload and completion message. Check the mobile experience. Use approved sample information; do not test a live contract, payment or account-access request simply to explore the interface. Resolve incomplete provider setup before offering those steps.
4. Publish the intended version
Review pending changes and the publication audience. In versioned flows, choose whether the change applies to new onboardings or eligible existing ones. Existing submissions can have version-specific restrictions. See publish and version a flow.
5. Invite and verify
Search for the contact first, select the published flow, confirm the email and send the intended invitation once. Check the saved onboarding record and link. Sending accepted by an email provider does not prove inbox receipt. See invitations.
6. Continue the relationship
Create or select the correct portal account, arrange the delivery milestones and tasks, and provision only authorized portal members. Check what the client can see before sharing files. A completed intake does not mean every delivery task or approval is complete.
